ALERT: Board Positions Ending in 2017

Gain experience,  increase your network, give back to your profession and community.

The PMI Hudson Valley Chapter Board will be soliciting nominations for the following three board positions, beginning on June 1st.

Please take some time to review these board roles and be sure to ask current board members to answer any question you may have regarding the roles.  We are happy to share our experience.  Come June 1st, please consider nominating yourself or someone else in the chapter (with their consent) for one of these positions.

The three role descriptions and their duties can be found below.

For your information, incoming Board Officers will serve a 2-year term beginning January 1, 2017.   The incoming board members will be announced in August and will be invited to all remaining 2016 monthly board meetings commencing with the September board meeting.  This will allow incoming board members to shadow the current board member, become familiar with the workings of the board, and facilitate a smooth transition to taking on their new roles January 1st, 2017.

Nominees must be:

  • Members of PMI and the Chapter in good standing.
  • Willing to devote time and effort as an officer of the Chapter.
  • Experienced as a Project Manager.
  • Of high integrity.

Role Descriptions

President

The President will be responsible for the overall functioning of the Chapter, assuring that the Chapter Board works together as a team, dedicated to achieving the Chapter vision, mission and objectives as detailed in the Chapter Charter.

Roles

Schedule, provide agendas and preside over all Business and Chapter meetings.

  • Direct the activities of other officers toward Chapter goals and objectives.
  • Designate the Immediate Past President to appoint Nominating Committee members by May 1 of each year to conduct Chapter elections.
  • Appoint replacement Board members to vacant positions, subject to the Board's approval.
  • Appoint committee and committee chairperson representatives to task teams as required and subject to the Board's approval.
  • Using the PMI.org website process, submit to P.M.I. - an annual application for charter renewal, pursuant to Article B-6 of the Chapter Guidelines & Policy Handbook.     
  • Represent the Chapter, or appoint appropriate alternate   to represent the chapter at the Region 4 LIM and the North American LIM. Prepare monthly status reports for presentation at Chapter Board meetings.
  • Maintain and deliver all permanent records to the position successor as required.

 

VP - Membership and Recruiting

The vice-president of Membership and Recruiting will be responsible for the development and maintenance of a Chapter membership plan that assures continued growth through aggressive recruiting within the Hudson Valley.

Roles

  • Serve as the backup President and assume presidential responsibilities if the elected president cannot fulfill the responsibilities for any reason.
  • Compile and maintain a current file of P.M.I. members in the Chapter area of operations and solicit their affiliation with the local Chapter.
  • Establish and maintain an active membership drive working with other Board members to identify membership opportunities, providing information about how to become a member of PMI. This information can be found in the monthly DEP report.
  • Provide monthly membership lists to all Board members, including new & dropped members, and new PMPs.
  • Prepare written monthly status reports for presentation at Chapter Board meetings.
  • Maintain a permanent file of the membership and recruiting activities of the Chapter and turn over all documentation to successors as required.
  • Work with the Director of Volunteers to create a list of viable candidates for the various volunteer roles required to support the objectives of the chapter

VP - Communications and Publicity

The vice-president of Communications and Publicity is responsible for the timely dissemination of information both to and from the Chapter membership, using various tools to accomplish the objective. In addition, the position also includes publicity of the local Chapter and P.M.I. to internal and external publications and through partnering with local businesses.

Communications Roles

  • Publish program plan showing monthly events.
  • Notify membership not less than ten (10) days before all special meetings called by the President.
  • Notify membership and post on the website within 48 hours of receipt of information for all general meetings.
  • Receive from Vice President - Membership, and maintain up-to-date copy of the mailing list for use in mailing pr emailing Chapter event notices, newsletters (if any), and annual report.
  • Notify membership of all nominations twenty-one (21) days before election.
  • Monitor and report upon the general membership's requirements and response to Chapter Programs.  This includes the preparation, analysis, and reporting on questionnaires and other evaluation devices. 
  • Maintain a file of all Chapter correspondence (meeting minutes, mailings, etc.).    
  • Prepare for, procure, and distribute Chapter stationary and printed materials if needed.
  • Prepare monthly status reports for presentation at Chapter Board meetings.
  • Maintain and deliver all permanent records to the position successor as required.
  • Prepare a yearly budget proposal as needed.                                    

Publicity Roles

  • Fill the role of Project Manager establishing volunteer committees for the preparation and editing of monthly newsletters (if any published articles, and local advertisements describing Chapter activities and plans, and currency of the chapter website. 
  • Develop and place advertisement in local newspapers of Chapter meetings, events, workshops, seminars, and vendor shows.
  • In cooperation with Vice President - Programs, prepare draft text of meeting notices and newsletters for review by the Board at their meeting preceding each Chapter meeting.
  • With the cooperation of other Board members, establish an awards program to show honor and distinction for professional accomplishments and Chapter participation.
  • Prepare monthly status reports for presentation at Chapter Board meetings.
  • Maintain and deliver all permanent records to the position successor as required.
